Jotform Sync Plus
Setup guide. About ten minutes, most of it choosing which field goes where.
- What it does
- Install and connect monday
- Connect Jotform
- Map the fields
- Turn one answer into subitems
- Only create when…
- Import past submissions
- Free plan and limits
- When something does not arrive
1. What it does
Every time someone submits your Jotform, the app creates an item on your monday board and fills in the columns you chose. Chosen answers can become subitems of that item rather than being crammed into one row.
Submissions arrive by webhook. The app never polls Jotform, so it does not spend your Jotform API quota in the background.
2. Install and connect monday
Add Jotform Sync Plus to monday.com
- Open the installation link above and approve the app for your monday account.
- Open the board you want submissions to land on, click + next to the view tabs and add the Jotform Sync view.
- The view asks for permission the first time. Click Authorize, approve on the monday screen that opens, then come back to the board tab.
The app asks for three permissions: read your profile, read your boards, and modify your boards. It needs the last one to create items. It also asks to consume AI credits — that is used only for the optional mapping suggestion in step 4.
3. Connect Jotform
- In Jotform, go to My Account → API and create an API key.
- Set the key to Full Access. This matters — see the warning below.
- Paste it into the view, choose your data region, click Connect.
You're not authorized to use (/form-id-webhooks). Registering the submission
webhook is a write. Set the key to Full Access and connect again.
Data region
Jotform runs three separate hosts, and an account on one is invisible to the others. Pick the one your account lives on, or your form list comes back empty:
| Choose | If your Jotform account is |
|---|---|
| Standard | a normal account on jotform.com |
| EU | on Jotform's European data residency |
| HIPAA | on a HIPAA-compliant plan |
4. Map the fields
Pick your form, then decide what goes where.
- Item name comes from — the answer that names the record. Usually a company, a person, or an order number.
- Fields → columns — pair each column with a question. Columns that cannot receive a value (formulas, mirrors, auto-number, the subitems column) are not listed, because setting them would look saved and do nothing.
Suggest mapping with AI
The ✨ Suggest mapping with AI button proposes a mapping for you. It fills the dropdowns and stops there — nothing is saved until you review it and press Save and start syncing.
Only field names and column names are sent. No submission answers, ever — not a sample, not a preview. The request runs through monday's own AI gateway on your account's AI credits.
What lands in which column type
| Column | What to point at it |
|---|---|
| Status | A question with a short fixed list of choices. Labels that do not exist yet are created. |
| Dropdown | Same, and a comma-separated answer becomes several values. |
| Numbers | A numeric question. Non-numeric answers are skipped rather than written as zero. |
| Date | A date question. |
| Email, Phone, Link | Their matching input types. |
| Text, Long text | Anything. |
Uploaded files remain in Jotform's own storage. If you map their URL to a supported text or link column, the app passes the URL through; it never copies the file contents.
5. Turn one answer into subitems
This is the part the free connectors cannot do.
- In Answers to add as subitems, select the question whose answer is really a list — line items, products, attendees, documents.
- Tick split comma-separated answers into separate subitems if that answer is free text with commas.
An answer of 2x Standing desk, 1x Monitor arm, 4x Task chair becomes three
subitems under the item, instead of one long line in a text column.
6. Only create when…
Pick a question and a value, and an item is created only when that answer matches. One form can then feed one board without filling it with everything else.
Leave it empty to create an item for every submission. Submissions that do not match are skipped and do not count against your monthly limit.
7. Import past submissions
Import past submissions brings in what arrived before you installed the app. It runs once, on demand, and never automatically — it reads your Jotform quota, so it is your decision when to spend it.
Submissions whose item already exists are skipped, so pressing it twice does not duplicate anything.
8. Free plan and limits
The free plan syncs up to 50 submissions per calendar month. The view shows how many you have used. Above that, submissions stop being written until the month rolls over or you upgrade.
Editing an existing submission updates the item that was already created rather than adding a second one.
9. When something does not arrive
Submissions stopped appearing
Open the view and press Save and start syncing once. That re-registers the webhook with Jotform. If it keeps happening, write to us — that is not something you should have to do twice.
The form list is empty
Wrong data region, or the API key belongs to a different Jotform account. See step 3.
Saving fails mentioning webhooks
The API key is read-only. Set it to Full Access in Jotform and connect again.
A column stays empty
The answer did not fit the column type — text in a numbers column, or an unparseable date. The app skips a value it cannot write rather than putting something wrong in your board.
Items appear without subitems
Check that a question is selected in Answers to add as subitems, and that the answer is not empty. If you expect several subitems from one answer, the split-on-comma box must be ticked.
